EYSC Treasurer's Reports
EYSC By-Laws
Ettrick Youth Sports
By-Laws
ARTICLE I, MEMBERS
The membership of this club will include the following:
-Baseball/softball members: any boy or girl who is five as of April 30 of current year and who has not entered ninth grade. (14 or under as of April 30 of current year)
- Adult members: Any adult with an Ettrick address who wishes to be a member, has a child involved in a program or who has an active interest in Ettrick Youth Sports.
ARTICLE II, OFFICERS
A. The officers of the club will consist of President, Vice-President, Secretary and Treasurer
B. ELECTION AND TERMS OF OFFICE
- All officers shall be regular members and shall be elected by the regular membership at the EYSC Annual Meeting.
- The term of office will be two (2) years or until his/her successor is elected.
C. SPECIFIC DUTIES OF EACH OFFICER
a. PRESIDENT
i. The President will be the executive officer of the club and shall have general supervision, direction and control of the business and affairs of the club.
ii. The President will prepare the agenda and preside at all meetings of the club.
b. VICE-PRESIDENT
i. The Vice-President shall, in the absences of the President, perform the duties of the President.
ii. Volunteer Coordinator: assist with getting volunteers for the concession stand and other volunteer needs of the club.
c. SECRETARY
i. The Secretary will keep minutes at all meetings of the club.
ii. The minutes will include the time/place of meeting, names of those present, and an accurate record of the proceedings of the meeting.
iii. Copies of all minutes will be kept in an official “Ettrick Youth Sports Club” binder and will be send out via email to Ettrick Youth Sports email group and posted on EYSC Facebook Page. The Secretary will have all minutes at meetings as well as copy of the by-laws of the club.
d. TREASURER
i. The Treasurer will maintain adequate and accurate accounts of the business transactions of the Club. This includes assets, liabilities, receipts, disbursements, gains, losses, capital and all income derived by the Club from its activities.
ii. Upon request of any active member the Treasurer will present the books for inspection in the presence of the other offices.
iii. The Treasurer will promptly deposit all monies of the Club in the name of the Club and to the credit of the Club as directed by the offices of the Club.
iv. The Treasurer shall disperse the funds of the Club as directed by the officers of the Club. All checks will be signed by the Treasurer and one other officer of the Club.
v. A report of the Club’s current financial status will be presented at each meeting of the club and sent to the EYSC email group and posted to EYSC Facebook Page.
vi. The Treasurer of the Club will be responsible for payment of staff.
e. OTHER DUTIES OF THE OFFICERS
i. Assist in the planning and operations of all fund raising efforts of the club.
ii. Assisting with finding volunteers to organize/run concession stand.
iii. Presides along with the Program Director and coaches over the mandatory parent meeting in the spring.
iv. Organize team/individual photo taking, including the collection of money.
v. Interview and hire for the positions of Program Director and Coaches. All applications will go through the office of the Village of Ettrick.
vi. Determine an annual budget for the Club.
vii. Assist with notifying participants in the event of a change of schedule.
viii. Distribute and sign out uniforms for all players.
ix. Collect players registration forms.
ARTICLE III, PROGRAM DIRECTOR
The Program Director will be hired annual by the officers of the club. The Program Director will be responsible to:
- Assist officers with hiring of coaches. Supervise coaches and all teams under the EYSC.
- Schedule Umpires
- Attend League Meetings
- Inventory equipment prior to the start and end of each season and present officers with a list of needs.
- Attend mandatory annual parent meeting and regular club meetings.
- Set up game and tournament schedules. Assist with notifying participants in the event of a change of schedule.
- Umpire Training
ARTICLE IV, MEETINGS
- Officers will call and attend meetings as necessary to take care of the business of the club. Members will be notified no later than one week in advance. Information about meetings will be emailed to EYSC Email Group and posted on EYSC Facebook Page at the officer’s discretion. All meetings are open to the public.
- Bi-Annually there will be election of officers of the club. This will take place on a date determined by the officers no later than November of every other year.
- At regular club meetings each member will have one vote. All voting must be done in person.
- Annually there will be a mandatory parent/guardian meeting prior to the beginning of each season. Each parent/guardian will sign a “Parent’s Code of Ethics” and each player will sign a “Player’s Code of Ethics.”
- By-Laws may be amended by two-thirds vote of regular members present and voting at a general meeting.
